To lists have always been one of my favourite things, ever since I was a child.
I love being organised and having it all on paper means it frees space in my mind.
In the fast-paced world we live in, managing multiple tasks has become expected of us. Despite what this is doing to our mental health.
My trick is a well-crafted to-do list. This can help you prioritise tasks and stay focused. Without compromising on your health.

Creating a to-do list that works
1. Start with a Brain Dump
Grab a cuppa and make yourself comfortable.
Begin by jotting down everything you need to do.
This helps clear your mind and makes sure you don’t miss any important tasks.
2. Categorise Tasks
Put similar tasks together. For example, create categories like work, personal, errands and kids. You can also add calls/emails and household.
This helps you see where your time will be spent.
3. Be Specific
Instead of writing vague tasks like “work on the project.”
Break them down into bite-sized chunks.
Such as “draft project outline” or “deep clean bathroom for 30 minutes.”
4. Set Deadlines
Give deadlines to your tasks. Doing so with give you a sense of urgency. This also helps you manage your time better.
5. Limit Your Daily Tasks
Try to avoid having too many tasks as this won’t be realistic and manageable.
Overloading your list can be overwhelming and counterproductive.
I aim for 5 tasks a day. This works for me, maybe yours is more or less.

Prioritising Tasks for your to-do list
1. Use the method of 4.
This proven and popular method involves putting tasks into four areas.

Urgent and important
-
Important but not urgent
-
Urgent but not important
-
Neither urgent nor important.
Focus on tasks that fall into the first two categories.
Naturally urgent tasks with consequences are going to need completing first.
2. Apply the 80/20 Rule
Again another proven way to manage your time. From business to Jo Blogs use this method because it works!
Find 20% of tasks that will give 80% of the results.
Make these high-impact tasks a priority to increase your productivity.
For example, 20% of your time on tasks gives you 80% results. This means that out of 10 tasks, 2 of those will be worth more than the other 8.
3. Review and change your to-do list
Your priorities may change throughout the week. I know mine do. So it makes sense to review your to-do list. Change what is needed to work for you.
Staying Focused and Avoiding Distractions
1. Time Blocking
Give yourself specific amounts of time for different tasks.
This helps you stay focused on one task at a time.
It is important to do this. Otherwise, you jump from task to task and never actually complete anything.
2. Set Clear Goals
Decide what you want to achieve within a certain time.
Clear goals give you direction and motivation.

3. Minimise Distractions
Know your common distractions and find ways to minimise them.
This could include turning off notifications. Creating a dedicated workspace, or using noise-cancelling headphones.
4. Take Regular Breaks
My husband likes to use techniques like 25 minutes of focused work followed by a 5-minute break.
This is great for keeping up high levels of concentration.
5. Practice Mindfulness
You know I always add this in. Not just because it is vital for our health but because even 2 minutes can change your mindset.
Mindfulness techniques, such as meditation and deep breathing are great. These can improve your focus and help you stay present. These are my go-to’s.
6. Review Your Progress
At the end of each day, review what you’ve done.
This not only gives you a sense of achievement but also helps you plan the next day better.
Don’t be disheartened if you don’t complete all your tasks. This only means you may have too many tasks for the day or perhaps revisit the method of 4.

A to-do list can be done by anyone. A productive and effective to-do list with all that I mentioned above, takes time and practice. But it works!
This way is more than just writing down tasks. It makes you prioritise and think. You are deciding what is worth your time and energy.
By using these techniques above. You’ll be well on your way to achieving your goals with greater ease and less stress. That’s what we all want, isn’t it? A happier, less stressed life?
